Room Guest Agreement
Effective as of the date you pay your first invoice on CrashWith.
Who Is a Room Guest?
A Room Guest is a CrashWith member who pays a Room Captain to share a confirmed lodging arrangement at an event. By paying an invoice through CrashWith, you enter into an arrangement with the Room Captain and agree to the terms of this agreement.
What You're Paying For
You are paying for access to a specific space in the Room Captain's reservation. The invoice price is set by the Room Captain. An optional CrashGuard fee may be added on top of the base price at your discretion. The fee level you choose determines how much of your payment is refundable as a flexible cancellation policy. If you pay without signing in to a CrashWith account, a 2% platform fee is added to the invoice; it is waived when you pay while signed in. The total shown on your invoice is the complete amount you owe. No additional charges will be made through the platform for the invoiced space(s), and the Room Captain is not allowed to ask you for additional payment outside of the platform.
Your Responsibilities
- Pay your invoice promptly. Unpaid invoices may be cancelled by the Room Captain or expire. Once an invoice is cancelled or expired, the space may be offered to another Guest.
- Be a respectful co-occupant. You are sharing a lodging space with other people. Abusive, threatening, or disruptive behavior toward Room Captains or other Guests may result in account suspension.
- Communicate cancellation requests promptly by emailing support@crashwith.com. If you need to cancel, do so as early as possible so the Room Captain has time to make other arrangements.
CrashGuard Protection
CrashGuard is CrashWith's protection program for Room Guests.
CrashGuard is your primary refund path. Room Captains use CrashWith because it provides a structured, platform-managed process for handling payment disputes and refunds, rather than managing these requests personally. If something goes wrong with your stay, you should file a CrashGuard claim rather than asking the Room Captain for a personal refund. Room Captains are not obligated to issue refunds outside of the CrashGuard process.
- If the Room Captain fails to provide the room - for example, by cancelling the reservation or not granting you access - you may file a CrashGuard claim and receive a full refund.
- CrashGuard also covers qualifying personal emergencies, such as illness or a family emergency. You can begin this process by emailing support@crashwith.com.
CrashGuard does NOT cover:
- Guest-initiated cancellations without a qualifying reason.
- Disputes about room quality.
- Failure to check in on time without prior communication to the Room Captain.
Payments and Refunds
- Payments are processed securely via Stripe. You will be directed to a Stripe-hosted checkout page to complete your payment.
- Once payment is made, refunds are only available through a CrashGuard claim. CrashWith does not issue discretionary refunds outside of the CrashGuard program, and Room Captains are not required to issue personal refunds.
- The Room Captain sets the base price per space. You may optionally add CrashGuard protection at checkout - the level you choose determines your refund coverage if a qualifying event occurs.
- If a negotiated price was agreed upon, that price will be reflected in the invoice before you pay. Prices may not be changed after you have paid.
Code of Conduct
- Treat all platform members - Room Captains and fellow Guests - with respect.
- Harassment or abusive behavior toward Room Captains or other Guests will result in account suspension. And a report may be filed with the Event.
- Discrimination based on race, gender, religion, national origin, sexual orientation, disability, or any other protected characteristic is prohibited.
Acknowledgement
By paying an invoice on CrashWith, you confirm that you have read, understood, and agree to this Room Guest Agreement. This agreement supplements the CrashWith Terms of Use and Privacy Policy, which also apply to your use of the platform.
