Life happens. A week before the con, you're sick. A day before, a family emergency. CrashGuard is optional refund coverage built into the CrashWith payment flow - so if you can't make it, you're not just out the money. You choose how much coverage you want, right at checkout.

So what actually happens if you can't make it to the event?

TL;DR

Guests choose a CrashGuard level (0–25%) when they pay. If they can't attend a covered event, they're eligible to receive back that coverage amount of their subtotal. Room Captains keep the payouts they've already received.

We assume good faith on every request - we'd rather cover a few bad actors than leave a real emergency unprotected.

Is CrashGuard active on my booking?

As a Guest, you need to:

  • Pay for the space through CrashWith's payment flow.
  • Choose a CrashGuard protection level greater than 0% on the payment screen.

The Room Captain needs to:

  • Have a verified reservation listing.
  • Have completed the Room Captain Onboarding process.

The platform verifies Captain eligibility automatically - you don't need to check this yourself.

When the Guest needs to back out

If you can't make it, email support@crashwith.com to request a reimbursement. Common covered reasons: illness or injury, family emergency or bereavement, job loss, travel disruption (flight cancellation, severe weather), or any other genuine emergency.

We assume good faith on every request. The only exception is clear, deliberate fraud, which we handle case by case.

Room Captains

CrashGuard isn't just guest protection - it actively makes your room easier to fill. When guests know they can recover their money if a genuine emergency comes up, they're more likely to commit early. That means less scrambling to find replacements and fewer last-minute cancellations.

Even if a guest cancels and receives a CrashGuard refund, your payout is not clawed back.

Frequently Asked Questions

Can I choose not to use CrashGuard?

Yes. When paying through CrashWith, simply select None on the payment screen - no additional fee, no coverage. CrashGuard is entirely optional. If you pay outside the CrashWith platform, neither party has any protection if something goes wrong.

How do I activate CrashGuard?
When paying through CrashWith, choose Standard or Full cancellation coverage on the payment screen. The level you select determines your refund potential - Standard covers 40% of your subtotal, Full covers 100%.
How do I request a refund if I get sick, have a family emergency, etc and can no longer attend the event?
Email support@crashwith.comand mention you're requesting a CrashGuard refund - we'll handle the rest. The amount refunded will match the coverage level you selected when you paid.
How long does it take to get the refund?
The refund is typically processed within 24 hours of the Guest cancelling the reservation. However, it may take longer depending on the payment method used.
Is my payment secure?
All payments are processed through Stripe Connect. CrashWith does not hold any user funds - money moves directly between Guest and Room Captain via Stripe, and payouts settle to the Captain's account within 24 hours.
How will the refund be processed?
Refunds are returned to the original payment method on file with Stripe. If you have questions about timing, contact support@crashwith.com.
