If your payments go through CrashWith, you are automatically protected by the CrashGuard benefit. You only need to create an account to activate it.

TL;DR

If a Guest needs to cancel late, they can still back out of the reservation. They'll receive a refund of the room listing price (minus the platform fee) - and the Room Captain keeps the payout they've already received.

Example: The Room Captain lists a space for $100.

  • The Guest Will Pay $122. $22 goes to CrashWith as a Platform Fee.
  • The Room Captain will receive $90. $10 goes to CrashWith as a Platform Fee.

In the example case above with the $100 listing, $32 goes to CrashWith. This money is used to fund the CrashGuard benefit.

Paying through CrashWith automatically activates the CrashGuard benefit for both Guest and Room Captain.

Is CrashGuard active on my booking?

As a Guest, you need to:

  • Pay for the space through CrashWith's payment flow.

The Room Captain needs to:

  • Have a verified reservation listing.
  • Have completed the Room Captain Onboarding process.

When the Guest needs to back out

If the Room Guest gets sick or experiences some other emergency that prevents them from going to the event, they may submit a request for reimbursement to CrashWith.

CrashWith will reimburse the Room Guest for the listing price. We approve almost every request - see the FAQ below for details on what qualifies.

Following the $100 example:

  • The Room Guest paid $122 for the $100 listing.
  • They are eligible to receive a $100 reimbursement. The $22 platform fee is not returned.

Room Captains: Your payout is protected

The Room Captain keeps the money they've already received.

What are valid reasons a Room Guest can state for requesting a reimbursement?

CrashGuard covers any genuine reason that prevents you from attending the event. Common examples:

  • Illness or injury (yours or an immediate family member's)
  • Family emergency or bereavement
  • Job loss or unexpected work conflict
  • Travel disruption (flight cancellation, severe weather)
  • Any other unforeseen emergency

CrashWith will assume good faith in all reimbursement requests. We will pay a few fraudulent requests if it means serving the convention community as a whole.

The only exception is clear, deliberate fraud — which we handle case by case.

All payments are processed securely through Stripe Connect, with funds settling in the Room Captain's account within 24 hours. CrashWith does not hold any user funds. The result is a transparent, fair system that leaves wiggle room for emergencies, your payouts reliable, and your peace of mind intact.

Frequently Asked Questions

Can I choose not to use CrashGuard?

Yes, paying through CrashWith is optional. CrashGuard is the primary reason to use CrashWith - it's what makes the transaction safe for both the Guest and the Room Captain. If you choose to pay outside the platform (Venmo, PayPal, etc.), neither party has protection if something goes wrong.

How do I activate CrashGuard?
The CrashGuard is automatically applied and activated when the Guest pays for the space(s) from the Room Captain's listing using CrashWith's payment flow, and they create a CrashWith account.
How do I request a refund if I get sick, have a family emergency, etc and can no longer attend the event?

Send an email to support@crashwith.com and include the following information:

  1. State somewhere in the email that you are requesting a refund under CrashGuard.
  2. The name of the Room Captain
  3. The name of the Guest
  4. The reason for the cancellation
How long does it take to get the refund?
The refund is typically processed within 24 hours of the Guest cancelling the reservation. However, it may take longer depending on the payment method used.
How will the refund be processed?
The refund will be processed via the payment method used by the Guest.
